PERSONAL ASSISTANT (Full/part-time)

Our client, a Management Company with both in house and third-party funds, is currently looking for a Personal Assistant to work full or part-time, who will help the company’s CEO in his daily business, fulfill some clerical tasks as well as provide key support in HR administration. An ideal candidate is able to work in an autonomous manner and handle a variety of complex tasks. The Assistant will work closely with management.

About the job

  • Handling phone calls, physical and electronic correspondence, faxes
  • Treating requests and transferring them to responsible persons in a timely manner
  • Performing general clerical duties (scanning, copying, filing documents)
  • Scheduling appointments, managing stuff agendas
  • Welcoming guests
  • Organizing the manager’s agenda
  • Travel booking (tickets, visas, hotels), accompanying the manager during business travels, if necessary, for assisting at meetings
  • Taking minutes, preparing and typing up documents, reports
  • Ordering office supplies
  • Processing HR documentation (contracts, addendums)
  • Handling various personnel related administrative duties (keeping record of holidays, sicknesses, absences; organizing trainings; helping out new staff members)
  • Ensuring compliance of HR policies with Labour Laws in force

Requirements

  • 4-5 years' experience working as Senior/Executive Management assistant
  • Fluency in English and French and professional communication skills both orally and in writing, knowledge of any other language would be advantageous
  • Accuracy with thorough attention to details
  • Computer literacy
  • Highly organised with an ability to manage multiple tasks in parallel
  • An open personality with a positive attitude and ability to deliver high-quality services
